Start with the written procedure
Clarify how residents, guests, deliveries, and contractors are expected to enter. If a procedure is difficult to explain, it may be difficult to apply consistently. Community management should define the rules before assigning a security role.
Think about the experience at the gate
Busy periods and unfamiliar visitors can create questions. Discuss how officers should direct people, request clarification, and communicate with management without treating every unusual situation the same way.
Agree on reporting
Decide which observations need a routine report and which need a prompt call to a designated contact. Residents should continue to call public emergency services for immediate danger; a community security presence is not an emergency dispatch substitute.
